Level 1: Data Validation at Field Level in Salesforce SIS

In our previous blog, we discussed data validation for compliance reporting.
In this blog, we will dive into the details on ways/methods to reduce data issues using the Salesforce field-level approach.

In Salesforce, Administrators can set up custom fields – with different types and lengths (e.g. text, numeric and currency). With the proper type and length fields in place, data input can be properly controlled. This will deter any users from entering invalid format or length. This means a chunk of data issues can be reduced right at the moment of data input. Users can also add-on more validations using Salesforce’s validation rules if required.


Field type – Picklist
An administrator can set up picklist type of fields – where options are pre-defined and users only need to select one of the options available. This can control the values allowed rather than having users define their own, which will then lead to invalid value errors in reporting.


Field Type – Numeric
An administrator can set the numeric type of fields so that the values stored will be in numeric values. This can then be reported properly at a later stage. For example, using a custom numeric type field to capture nominal hours (if you choose to use your own field instead of RIO Education’s standard “Nominal Hours” field).


Field type – Date
An administrator can set date type of fields so that the user is provided with a “date picker” component when specifying date values. The selected values will be stored as date values which can then be converted into the reporting required format e.g. ddMMyyyy.


Field length – the number of characters
An administrator can set character limits for any text, numeric or currency fields. This will ensure that the users will not enter any values that exceed the allowed limit on the reporting requirements.
