Why Cant I Use Backorder for Serial Products?

 

Because Serial controlled Products must have a unique Serial Number to work, we don’t allow Warehouse Inventories of these products to go into the negatives – this would imply that more than 1 of the product has the same Serial Number.

 

If you can, make sure to assign any Opportunity Products so that only 1 of each Serial Number is assigned. If you can’t do this, or if you don’t have enough inventory on hand, there are still some workarounds you could try.

 

Note: These workarounds may not be suitable for your organisation’s sales practices or automation. Please check with your System Administrator about the best way to handle this situation.

 

 

Option 1.

You could do an Inventory Adjustment for the Serial Products that you are missing, and give them a placeholder Serial Number that doesn’t exist. Assign these placeholder Serial Numbered Products to the Opportunity and commit it.

Later, when you get the actual Serial Numbers in, you can lower the Opportunity below the commitment threshold, replace these placeholder products with the real products, and then commit it again.

Make sure to delete the placeholder products afterwards.

 

Eg. I am selling Serial Product A with Serial Numbers 1, 2, 3, 4 and 5, but I only have 1, 2 and 3 available. 

1. I do an Inventory Adjustment on Serial Product A to create Serial Numbers [PH]4 and [PH]5.

2. I replace 4 and 5 on the Opportunity with [PH]4 and [PH]5.

3. I can now commit the Opportunity.

 

 

A week later I get Serial Numbers 4 and 5 available.

1. I do an Inventory Adjustment on Serial Product A to adjust Serial Numbers 4 and 5.

2. I lower the Opportunity below the commitment threshold.

3. I replace PH4 and PH5 with 4 and 5.

4. I can put the Opportunity back to the correct stage.

5. I delete the Warehouse Inventory for PH4 and PH5.

 

 

Option 2.

If you want to track the Serial Products as Assets, you could change the Opportunity to only have the Serial Products you have on hand. Then, when you get enough Inventory to sell the rest of the Serial Products, you can create another Opportunity for the same customer, with only the missing Products.

 

Eg. I am selling Serial Product A with Serial Numbers 1, 2, 3, 4 and 5, but I only have 1, 2, and 3 available.

1. I remove Serial Numbers 4 and 5 from the Opportunity.

2. I edit the Opportunity Product for Serial Product A to only have 3 quantity (1, 2, and 3).

3. I clone the Opportunity without Products.

4. I can now commit the original Opportunity.

5. On the cloned Opportunity, I add Serial Product A with 2 quantity (4 and 5).

 

 

A week later I get Serial Numbers 4 and 5 available.

1. I do an Inventory Adjustment on Serial Product A to adjust Serial Numbers 4 and 5.

2. I assign Serial Numbers 4 and 5 to the cloned Opportunity.

3. I can now commit the cloned Opportunity.
